We process personal data in accordance with Law no. 195/2024 on the protection of personal data.

What this policy covers

This policy describes how we process the data of people who book a room, stay at Hotel Libra, contact us, or visit our website.

Video surveillance is covered by a separate notice at hotel-libra.com/en/cctv

What we process and why

Reservations and stays. Name, contact details, stay dates, room type, special requests. Basis: performance of the accommodation contract, art. 5(1)(b).

Bookings through online platforms. When you book through Booking.com or a similar platform, the platform passes us the data needed to accommodate you. The platform processes your data as its own controller, under its own policy.

Guest register. On arrival we record your name, country, arrival date, departure date and signature, for the register of accommodated persons. We do not keep copies of identity documents. Basis: legal obligation of the controller, art. 5(1)(c).

Payment and invoicing. The data needed to issue a fiscal receipt or invoice. Payment is made at reception. We do not store full bank card numbers. Basis: legal obligation, art. 5(1)(c).

Correspondence. Messages sent to info@hotel-libra.com and the contact details they contain. Basis: legitimate interest in responding to enquiries, art. 5(1)(f).

The website. hotel-libra.com is a static site. We use no cookies and no web analytics. The only data collection happens in the booking process, in two steps. First, the availability search sends our server your dates and number of guests. Then, if you choose a room, the form collects your name, email address, phone number, any notes and your acceptance of the cancellation terms, and our server passes them straight to Beds24, which hosts our booking system and processes the booking on our behalf as our processor. Our server keeps no copy of this data. Card details are entered only on Beds24’s secure page; our site never sees them. Requests for which no card is entered within 45 minutes are cancelled automatically. The Booking.com link opens the hotel’s page on Booking.com, where Booking.com’s own policy applies. The hosting provider automatically records the IP address and technical details of each request for security and operation. Basis: steps prior to entering into a contract, taken at your request, art. 5(1)(b), and legitimate interest in the operation and security of the site, art. 5(1)(f).

Guest reviews shown on this site are published by us as static text. Displaying them involves no transfer of data from your browser to Google or any third party.

Who receives the data

• the bank, for card payment processing
• our booking system provider (Beds24), which processes bookings on our behalf
• booking platforms, for reservations made through them
• the website hosting provider, for technical logs
• public authorities, where the law requires it

Accounting is handled in-house; fiscal documents are not passed to an external provider.

We do not sell your data, do not pass it on for marketing purposes, and do not send promotional messages. The guest Wi-Fi requires no registration and collects no personal data.

Transfers outside the Republic of Moldova

Website hosting, our booking system and booking platforms are operated by companies with international infrastructure, which means data is transferred outside the Republic of Moldova, including to the European Union and the United States. These transfers rely on the safeguards set out in Chapter V of Law no. 195/2024.

How long we keep data

• reservation and stay data: for the duration of the stay and afterwards, as long as needed for possible claims
• fiscal and accounting documents: 5 years
• guest register: 30 days
• booking requests without a card: cancelled automatically after 45 minutes
• correspondence: 1 year from the last message
• website technical logs: no more than 30 days
• video recordings: 30 days, under the separate notice

Your rights

You have the right of access, rectification, erasure, restriction of processing, objection, and data portability.

Some data cannot be erased on request where the law requires us to keep it — accounting documents, for example.

To exercise these rights, write to info@hotel-libra.com. We respond within one month. We may ask you to prove your identity.
